Job Summary:
We are seeking a highly organized, detail-oriented Executive Assistant to provide high-level administrative support to the CEO and senior leadership team. In this role, you will be responsible for managing executive schedules, preparing reports, coordinating company events, and handling various administrative duties to ensure the smooth operation of the business. The ideal candidate will be proactive, resourceful, and adaptable, with the ability to thrive in a fast-paced environment.
Core Responsibilities:
- Provide direct administrative support to the CEO
- Manage and prioritize executive calendars, scheduling meetings, appointments, and travel
- Draft and edit correspondence, reports, and presentations as required
- Coordinate and prepare materials for meetings, ensuring efficient follow-up on action items
- Act as the liaison between the executive team and internal/external stakeholders
- Maintain filing systems and document organization for easy access and retrieval
- Oversee communication between departments and help in cross-functional coordination
- Handle confidential and sensitive information with professionalism and discretion
Non-Core Responsibilities:
- Assist with office management duties as needed (ordering supplies, maintaining office space, etc.)
- Organize company events and team-building activities
- Conduct research and compile data as requested by leadership
- Participate in industry events, conferences, or meetings to represent the company
Day-to-Day Activities:
- Morning: Review the CEO’s calendar and prioritize tasks for the day
- Mid-day: Coordinate logistics for upcoming meetings and process emails or communication
- Afternoon: Prepare meeting agendas, take minutes, and ensure follow-ups are completed
- End of Day: Compile reports or documents for the next day, check in with team members, and provide feedback or reminders

Required Skills and Qualifications:
Hard Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with Zoho or similar CRM software
- Experience with QuickBooks or financial software
- Strong organizational and time-management skills
- Ability to maintain confidentiality and handle sensitive information
- Background check required
Soft Skills:
- Excellent communication skills (both written and verbal)
- Strong problem-solving and decision-making abilities
- Ability to adapt in a dynamic, fast-paced environment
- Attention to detail and accuracy
- Strong interpersonal skills and ability to build relationships with team members
Salary and Benefits:
- Salary: $45,000 – $70,000 per year, depending on experience
